How to Register on eGP Kenya as an AGPO Supplier: Step-by-Step Guide (July 2026)

July 1, 2026 is eight days away.

That's when Kenya's electronic Government Procurement system — eGP Kenya — becomes the mandatory procurement platform for every government procuring entity in the country. Ministries. Parastatals. All 47 counties. If there's a government tender, it will run through egpkenya.go.ke.

If you have an AGPO certificate and you're not registered on eGP Kenya, you will miss tenders that are legally reserved for your business.

This guide gives you the exact steps to register, the documents you need to have ready, and the three common mistakes that get applications rejected before they even get to a human reviewer. Plan for about an hour to get through the whole process.


Before You Start: What is eGP Kenya?

eGP Kenya (egpkenya.go.ke) is the National Treasury's platform for managing government procurement end-to-end — from tender advertisement to bid submission to contract award to payment. It launched in 2025 and from July 1, 2026, it is the only authorized route for government tenders.

Why this matters for AGPO businesses specifically: the platform has a dedicated AGPO pathway. Your AGPO certificate is verified automatically when you register, and AGPO-reserved tenders (the 30% government procurement set-aside for youth, women, and PWD-owned businesses) are labelled clearly so you can filter for them directly.

There are two distinct eGP mandates to understand. The first — PPRA Circular 02/2025 — required government bodies (ministries, parastatals, and counties) to adopt eGP in FY2025/26. They've been on it since mid-2025. The July 1, 2026 CS Mbadi directive is the second mandate: it applies to you, the supplier. The government side is already there. Now it's your turn.


Step 0: Do These Checks Before You Open the Registration Page

The eGP portal validates your details against KRA iTax, the Business Registration Service (BRS), and the National Registration Bureau in real time. If anything doesn't match, the system rejects you automatically — no explanation, no partial progress saved.

The most common failure reason is a KRA/BRS name mismatch. Your business name as registered with KRA must match your BRS record exactly — not approximately, exactly. A single character difference (“Acme Supplies Ltd” vs “Acme Supplies Limited”) causes automatic rejection.

Business name matches across KRA and BRS

Log into itax.kra.go.ke and check the name registered under your KRA PIN. Then check your BRS certificate. They must be character-for-character identical. If they don't match: visit your nearest KRA service centre and BRS office. Bring both documents. Request a name correction. This can take 2–5 business days — start now.

KRA PIN is active

An inactive or suspended KRA PIN will fail real-time validation. Verify on iTax.

Tax Compliance Certificate (TCC) is valid and not expired

The portal checks your TCC against KRA in real time. An expired TCC = immediate rejection. If yours is expired, apply for a new one on iTax before you attempt registration.

AGPO Certificate is current and not pending renewal

eGP validates your AGPO certificate number against agpo.go.ke. If your certificate is expired, in renewal, or your AGPO category data doesn't match, you'll be blocked. Check agpo.go.ke to confirm your status.

CR12 is recent (for limited companies)

If you're registering as a limited company, your CR12 must be recent — typically less than 12 months old. Apply for a fresh CR12 from the Registrar of Companies if necessary.

Only once these five checks are clean should you move to registration.

Scan these documents before you open the registration form. The portal will time out if you take too long gathering documents mid-application. Quality matters — blurry scans get rejected.

  • File sizes under 2MB per document. Compress via ilovepdf.com if needed.

The 5-Step Registration Process

Step 1: Navigate to the Portal

Go to www.egpkenya.go.ke and click “Supplier Registration.”

This is the only authorized government procurement registration portal. Do not register through any third-party site or “assistance service.”

Step 2: Create Your Account

You'll be prompted to enter:

  • KRA PIN
  • Business Registration Number (from your BRS certificate)
  • National ID number of the authorized representative
  • Business email address and phone number

At this point, the system validates your KRA PIN and BRS number in real time. If you get an error here, refer back to Step 0 — a mismatch is the most common cause.

Use a business email address that you check regularly. This is where activation links and tender alerts will be sent.

Step 3: Complete the AGPO Supplier Form

Since you're AGPO-certified, select “AGPO Supplier” when prompted.

  • Enter your AGPO Certificate Number and click Verify
  • The system retrieves your AGPO record from agpo.go.ke
  • Select your AGPO category: Youth / Women / Persons with Disability (PWD)
  • Select the tender categories your business operates in — these are UNSPSC procurement codes. Take time to select all relevant categories. This determines which tenders you see.

Common UNSPSC categories:

  • Goods supply — stationery, furniture, food, fuel, pharmaceuticals
  • Works — construction, civil works, road maintenance
  • Services — IT, cleaning, security, consulting, training, transport

Step 4: Upload Your Documents

Upload all documents from your checklist above. Work through them systematically — the portal saves progress section by section.

Common upload problems:

  • File too large: Compress your PDF using ilovepdf.com (free)
  • Upload timeout: Poor internet connection. Switch to a faster connection or visit a Huduma Centre.
  • Wrong format: The portal accepts PDF and JPG. Convert other formats before uploading.

Step 5: Submit and Wait for Verification

After submitting, the National Treasury reviews your application and cross-checks against KRA iTax, BRS, the National Registration Bureau (NRB), and the Integrated Population Registration System (IPRS).

Timeline: Verification typically takes 3–7 business days. You'll receive a confirmation email when your account is activated.

After activation, your Supplier Dashboard is live. You can browse AGPO-reserved tenders in your categories, receive deadline notifications, submit bids, and track contract status — all within the same platform.


What Happens If Your Registration Is Rejected?

If the system rejects your application, you'll receive an email describing the issue. Common rejection reasons:

What Happens After You Win: The Procurement Capacity Building Levy

One thing no competitor covers: if you win a government contract, you owe a 0.03% Procurement Capacity Building Levy on the contract value.

This levy was introduced in September 2024 and applies to all suppliers who win government contracts — including AGPO winners. Key facts:

  • Amount: 0.03% of the contract value
  • Due date: 20th of the month following the contract award
  • Penalty for late payment: 5% per month on the outstanding amount
  • Exemption: Contracts funded by development partners (e.g., World Bank, USAID) are exempt

Example: You win a KES 500,000 government supply contract. Your levy = KES 150. Due by the 20th of the following month.

The amounts are small — but the 5% monthly penalty adds up fast if you miss it. Know it exists, build it into your post-award process.

After Registration: Setting Up for Success

Once you're registered and approved, a few things will make the difference between missing opportunities and catching them:

  1. Set up email filters for eGP notifications. The portal sends alerts to your registered email. Add egpkenya.go.ke as a trusted sender so alerts don't land in spam.
  2. Know your tender categories. Review your UNSPSC code selections — too narrow and you miss opportunities; too broad and you're overwhelmed. Spend 20 minutes getting this right.
  3. Check the portal regularly. eGP doesn't push notifications reliably yet. Build a habit of logging in weekly — or use TenderAI to monitor for you.
