How TenderAI Works

What exactly does TenderAI do?
TenderAI scans Kenya's procurement portals daily — tenders.go.ke, the AGPO portal, county procurement sites, and major corporate procurement pages. It matches open tenders to your SME profile and, when you find one worth pursuing, drafts a fully compliant bid response in under 5 minutes. Cover letter, technical proposal, financial schedule — formatted to government specifications.
How does TenderAI find tenders that match my business?
When you set up your company profile, you enter your industry, certifications (AGPO, NCA, ISO), county location, and contract capacity. Our matching engine scores every active tender against those details and surfaces only the ones you can realistically qualify for. Each match shows the deadline, estimated contract value, and your match score with the reasoning behind it.
How long does it take to get my draft response?
Under 5 minutes for most tenders. After you pay via M-Pesa, TenderAI reads the full tender document (up to 200 pages), extracts requirements, and generates a compliant draft with cover letter, technical proposal, and financial schedule. You'll receive a download link immediately. You review, add your specific company details, and submit.
What does the AI actually draft for me?
TenderAI generates: (1) a cover letter addressed to the procuring entity, (2) a technical proposal section responding to each requirement in the tender, (3) a financial schedule in the specified format, and (4) a compliance checklist showing which mandatory requirements are met, which are missing, and what documents you need to attach. You fill in company-specific details (your CV, track record, team qualifications) and submit.

Legality & Trust

Is using AI to write tender responses legal in Kenya?
Yes. Kenya's Public Procurement and Asset Disposal Act (PPADA 2015) and PPRA guidelines do not prohibit the use of software or AI tools to prepare bid documents. You remain responsible for the accuracy and completeness of your submission — TenderAI drafts the document, you review it, and you sign and submit it. This is identical to using a law firm or procurement consultant to help write your response.
What if the AI gets something wrong in my response?
Every draft comes with a compliance checklist that flags gaps and areas that need your review before submission. The AI reads the tender document faithfully, but it cannot know details specific to your business — your track record, your specific team qualifications, or proprietary pricing. You review, fill those gaps, and submit. Think of TenderAI as your first draft, not your final submission.
Is my business data secure?
Your company profile and tender activity are encrypted at rest and in transit. We comply with the Kenya Data Protection Act 2019 (ODPC). We do not sell your data to third parties. Your profile information is used only to match you to tenders and draft your responses — nothing else.

AGPO & eGP Kenya

Do I need to be AGPO-registered to use TenderAI?
No — TenderAI works for any SME bidding on government contracts. That said, most of our early users are AGPO-certified, and we filter AGPO-reserved tenders (the 30% government procurement set-aside for youth, women, and PWD-owned businesses) specifically when you indicate AGPO status in your profile. If you're AGPO-registered, you have access to a larger pool of reserved tenders. If you're not registered yet, we recommend agpo.go.ke to start the process.
What is eGP Kenya and how does TenderAI work with it?
eGP Kenya (egpkenya.go.ke) is Kenya's mandatory electronic procurement platform, required for all government procuring entities from July 1, 2026. Suppliers — including AGPO businesses — must register on eGP to access and bid on government tenders. TenderAI monitors eGP Kenya alongside other portals, matches tenders to your profile, and helps you prepare bid responses for submission on the eGP platform. I'm not yet registered on eGP Kenya. Can I still use TenderAI?
Yes, you can set up your TenderAI profile and see your matched tenders now. You'll need an active eGP Kenya supplier account to submit bids after July 1, 2026. We recommend completing eGP registration before July 1 — read our step-by-step guide on the TenderAI blog.

How much does TenderAI cost?
KES 5,000 per AI-drafted response — pay only when you want a bid response drafted. No monthly subscription, no retainer, no hidden fees. For tenders above KES 5 million, we offer a Success Share model: zero upfront cost, 2% of the contract value if you win. Full details at tenderai.sarabi.studio/pricing.
What payment methods do you accept?
M-Pesa STK Push — you enter your phone number, receive a prompt on your phone, and confirm. Payment is instant. No card required, no USD conversion, no bank transfer delays. Kenya-native from day one.
What if I pay and I'm not happy with the draft?
Every Pay Per Response includes 1 revision. If the first draft misses key requirements from the tender document, we'll revise it. We're launching with early access users first precisely to make sure the quality is right before we scale. Your feedback helps us improve.

Competitors & Alternatives

I already use TenderSoko or TenderYetu — will TenderAI replace that?
TenderSoko and TenderYetu are tender aggregators — they help you find tenders. TenderAI goes further: we match tenders to your specific company profile, then draft your bid response for you. If you're already using an aggregator to discover tenders, TenderAI handles the next step — actually responding. The two tools are complementary.
Why not just hire a procurement consultant?
Procurement consultants in Kenya charge KES 50,000–200,000 per bid response, take 3–5 days to deliver, and can only work on one tender at a time.
